The Social Planning and Events Committee welcomes co-sponsorships from groups across the University. We believe that helping plan and finance a wide array of campus events hosted by diverse organisations can only help to enrich the social and cultural options available at Penn. SPEC has several different types of co-sponsorships available for all types of events. Please note that requests for co-sponsorships must be received no later than four weeks prior to the event; SPEC does not guarantee funding for any co-sponsorship request.

GENERAL INFORMATION

All co-sponsorships from SPEC require that you place the SPEC Logo on your marketing materials. Additionally, the SPEC Event Report is due to the Office of Student Life, 200 Houston Hall, within one week of your event. Failure to submit your report on time will result in the loss of your funding. Additionally, SPEC reserves the right to withdraw your funding if your report is not filled out in a reasonable, adequate fashion. For any questions please contact the committee or fund to which you are applying.

IMPORTANT NOTE

Generally, after your event SPEC will transfer the granted funds into your university account. If you do not have a university account, you will need to work with SPEC’s treasurer BEFORE your event to have SPEC make all payments on your behalf, INCLUDING HONORARIUMS. Please note that it is the University’s policy to NOT cosponsor events with outside organizations. This means that although you may be a group of Penn students, if you are not recognized by the Office of Student Life or a University Department (note: Hillel and Lubovich are NOT part of the Judaic Studies Department), we CANNOT reimburse you for expenses. Throughout the planning process, it is YOUR responsibility to ensure that procedures are being followed correctly (don’t worry, we’re here to help!).

FULLY PLANNED

If your group has planned an event that is ready to go but needs financial assistance to be viable, your group may apply for a FULLY PLANNED co-sponsorship. Each application is reviewed by SPEC’s Executive Board based on the FULLY PLANNED guidelines.

NOTE: All groups receiving Fully Planned Funding are eligible to receive SPEC Sound’s services at no cost (subject to availability and SPEC Sound’s standard procedures).

CONNAISSANCE

If your group is looking to bring a speaker to campus on any issue, you may submit a co-sponsorship request to the Connaissance committee. To request funds, visit the Connaissance site for guidelines and application. The Connaissance directors will contact you with a time to present your request to the committee at large.

SPEC-TRUM

SPEC To Represent Undergraduate Minorities (SPEC-TRUM) offers organizational assistance and financing assistance to groups hosting events serving the multitude of minority interests on campus. Events that have received co-sponsorship funding in the past include UMC’s Unity Week, CariFest, MLK Scholars Weekend, Asian-Pacific Heritage Week, and QPenn. GENERAL EVENT CO-SPONSORSHIPS

You may also wish to co-sponsor a group with any of our other committees: Art Gallery, Concerts, Spring Fling, Jazz & Grooves, Film, and Special Events. Co-sponsorships by these committees are more flexible; they can often take the form of planning assistance rather than funding. To inquire about co-sponsoring an event with one of these committees, contact the directors of the committee directly. Contact information may be found on the group specific web page.
